Privacy Policy

Effective date: September 29, 2026 · Last updated: September 29, 2026

1. Who we are and what this policy covers

Blue Water Billing LLC ("Blue Water Billing," "we," "us," or "our") provides billing and revenue cycle management services to health care practices. This Privacy Policy explains how we collect, use, share, and protect personal information when you:

  • visit bluewaterbilling.com or use its forms (the "Site");
  • request a Free Skin Substitute Claim Readiness Review (the "Free Review") or book a call with us;
  • receive business emails, calls, or other outreach from us; or
  • otherwise contact us.

The Site and our services are for businesses. Most of the people whose information we handle are practice owners, providers, and staff acting for their practice. This policy is part of our Terms of Service.

What this policy does not cover

  • Patient health information. Records you upload for a Free Review are protected health information under HIPAA. We handle them under the Business Associate Addendum in Appendix A of our Terms of Service, not this policy. See Section 3.
  • Our work for clients. When a practice hires us, we handle its patient and billing information on its behalf, under a services agreement and a business associate agreement. That practice's own Notice of Privacy Practices explains how patient information is used. If you are a patient, please contact your provider.
  • Other websites and services. Sites and tools we link to, such as our scheduling page or payer websites, have their own privacy policies.

2. Information we collect

We collect business contact details, what you choose to tell us, and basic information about how you use the Site.

Information you give us

WhereWhat we collect
Free Review request formFirst name, work email, practice type
Optional questions on the thank-you pageYour role, number of providers, phone number, whether you bill skin substitutes, who handles your billing today, and anything you type about your billing challenges
Contact formFirst and last name, email, phone, practice name, number of providers, and your message
Calls, emails, and meetings you bookYour contact details and what you tell us

Please don't include patient information in any of these. See Section 3.

Information collected automatically. When you visit the Site, we and our service providers collect:

  • device and browser details, IP address, approximate location based on IP address (such as city or region), pages viewed, and the page that sent you to the Site; and
  • the ad click identifier and campaign details in the link you followed, such as which ad or email brought you to the Site. We save these with any form you submit, whatever your cookie choice, so we can tell which campaigns work.

When you receive our emails, we and our email providers may record whether and when you open or click them, along with your device and approximate location.

Analytics and advertising cookies are set only if you accept them. Campaign details are saved with your form either way. See Section 6.

Information from other sources

  • Business contact data providers, such as Seamless.AI, which supply names, job titles, practice names, work email addresses, and phone numbers of health care professionals and practice staff.
  • Public sources, such as practice websites and professional directories.
  • People who refer you to us.
  • Advertising and analytics providers, which send us reports on how our ads and Site perform.

We do not ask for sensitive personal information about you, such as Social Security, driver's license, or financial account numbers, through the Site.

3. Patient health information

Patient health information never belongs in the Site's forms, and we accept it only through the Upload Portal, under HIPAA.

  • Keep it out of the Site. Don't enter patient names, dates of birth, member or record numbers, or clinical details in any form, the scheduling tool, email, or a text message. These channels are not set up for protected health information ("PHI").
  • Free Review uploads. Clinical documents for a Free Review go only through the secure Upload Portal link we email you. We receive them as your practice's business associate under HIPAA. How we use, protect, keep, and destroy them is governed by the Business Associate Addendum (Appendix A) and Section 6 of our Terms of Service, not this policy.
  • Our review tool. Our billing team uses BlueCheck AI, our documentation review tool, to help prepare your readout. We use uploaded records only as Appendix A of our Terms permits.
  • If PHI reaches us by mistake. If PHI arrives through a form, email, or other channel, we won't use it for the Free Review. We will take reasonable steps to delete it and handle it as the Business Associate Addendum requires.
  • No marketing use. We never sell PHI or use it for marketing.

4. How we use information

We use personal information to respond to you, deliver the Free Review, market our services to practices, and run the Site safely.

  • Respond and deliver. Answer your questions, set up and deliver your Free Review, schedule calls, and send confirmation emails.
  • Talk with you about our services. Follow up on your request, and contact health care professionals about our billing services by email and phone. Section 7 explains your choices.
  • Make conversations relevant. Understand your practice's size, specialty, and billing setup so our conversation and your readout fit your practice.
  • Measure and improve. Learn how visitors use the Site and which ads and campaigns lead to requests, so we can improve both.
  • Keep things secure. Block spam, automated submissions, and misuse, and protect our systems.
  • Run our business and meet legal duties. Keep records, enforce our Terms, handle disputes, and comply with the law.

We may combine information for these purposes, for example by matching a form submission to the campaign that brought you to the Site. We do not use automated tools alone to make decisions about you that have legal or similarly significant effects.

5. How we share information

We do not sell personal information. We share it with service providers that help us run the Site and our business, and in the few other cases listed below.

Service providers. These companies handle information for us under contracts that limit how they may use it.

Google, for analytics and ad measurement. Google Analytics and Google Ads cookies are set, and send data to Google, only if you accept them (Section 6). Our tag manager, also a Google product, loads on every page to apply your choice, so Google receives basic request data such as your IP address and the page address. Google uses advertising data under its own terms. When someone who clicked one of our Google ads submits a form, we send Google the ad click identifier from that ad and the time of the request, so we can tell which ads lead to requests. We do this whatever your cookie choice, including when your browser sends a Global Privacy Control signal. The ad-measurement data we send to Google Ads does not include your name, email, or phone number. If you would rather we not send your click identifier, email us and we will leave it out of future uploads. Google explains its practices in How Google uses information from sites or apps that use our services.

Other disclosures. We may also share personal information:

  • with our lawyers, accountants, insurers, and other professional advisers, who must keep it confidential;
  • when the law requires it, or to protect our rights, safety, or property or those of others, including to prevent fraud;
  • with a buyer, investor, or successor as part of a merger, acquisition, financing, or sale of our business or assets, who must honor this policy for information it receives; and
  • when you ask us to, or agree that we may.

Selling and "sharing." We do not sell personal information, and we have not sold it in the past 12 months. Some state laws call it "sharing" or "targeted advertising" when advertising cookies track visits across websites. We set marketing cookies only if you accept them, and you can turn them off at any time (Section 11). Sending click identifiers to Google for ad measurement, described above, may also count as "sharing" under some state laws. We do not currently build remarketing audiences from Site visitors.

6. Cookies, analytics, and ad measurement

We use a small set of cookies and similar technologies, and set the optional ones only if you accept them. Our Cookie Policy lists each one.

  • Strictly necessary (always on). These remember your cookie choice and carry your first name from the request form to the thank-you page.
  • Campaign details (always on). If you arrive from an ad or a tagged link, your browser keeps the ad click identifier and campaign tags from that link until you close the tab. We save them with any form you submit, whatever your cookie choice, so we can see which campaigns bring requests, and we send the click identifier to Google as described in Section 5.
  • Analytics (optional). Google Analytics uses cookies and your IP address to count visits and record activity such as pages viewed and time on the Site. It sends this to Google, which processes it into reports for us. We turn off Google signals and ad personalization in Google Analytics.
  • Marketing (optional). Google Ads cookies tell us which ads lead to requests.

Google explains how it handles this data in How Google uses information from sites or apps that use our services.

Your choices. Make your choice on the cookie banner, and change it at any time with "Cookie preferences" in the Site footer. You can also clear cookies in your browser, install the Google Analytics opt-out add-on, or manage Google ads at adssettings.google.com.

Global Privacy Control. If your browser sends a Global Privacy Control (GPC) signal, we treat it as a choice to turn off optional cookies: analytics and marketing cookies stay off. It does not stop the click-identifier upload described in Section 5; email us to opt out of that.

Do Not Track. There is no agreed standard for browsers' "Do Not Track" setting, so we do not respond to it. We do honor Global Privacy Control, as described above.

Tracking across websites. If you accept marketing cookies, Google may collect information about your online activity over time and across different websites. Other than Google, we do not knowingly allow third parties to track visitors across websites through the Site. Tools we embed, such as our scheduling tool, may set their own cookies under their own policies.

7. Emails, calls, and texts

We contact health care professionals about our services by email and phone, and you can stop that at any time.

  • Emails. Every marketing email tells you how to unsubscribe and includes our postal address, and we honor unsubscribe requests within 10 business days. Some outreach emails come from separate email domains we use only for outreach; each one identifies Blue Water Billing.
  • Calls. Our team may call the phone numbers we have for your work, which may include a mobile number. We don't make autodialed or prerecorded marketing calls or texts without your prior express written consent. Ask us to stop and we will add you to our do-not-call list.
  • Texts. We text you only if you have agreed to receive texts, or to reply when you text us first. Reply STOP to stop texts.
  • Messages you asked for. After you opt out of marketing, we may still send messages needed to finish a Free Review you requested or to answer your question.
  • Opting out of everything. Email contact@bluewaterbilling.com with "opt out" and we will stop marketing emails and calls to you. That includes outreach based on lists from business contact data providers.

To make sure an opt-out sticks, we keep your email address or phone number on a do-not-contact list.

8. How long we keep information

We keep personal information only as long as it serves the purposes in this policy, then delete it or remove the details that identify you.

InformationHow long we keep it
Free Review requests, contact form submissions, and sales conversationsUp to 3 years after our last contact with you. If you become a client, your services agreement applies
Business contact data from data providersUp to 3 years after we obtain it, or sooner if you ask us to delete it or we learn it is out of date
Do-not-contact listAs long as we do business outreach, so we keep honoring your choice
Google Analytics dataUp to 14 months for event-level data; reports that don't identify you may be kept longer
Free Review uploads and readoutsAs set out in Section 6.6 of our Terms of Service

We may keep information longer when the law requires it, or to resolve disputes and enforce our agreements.

9. How we protect information

We use reasonable administrative, technical, and physical safeguards. These include encrypted connections to the Site, access limited to team members who need it, and a separate secure upload channel for patient records. No website, email, or storage system is completely secure. If a security breach affects your personal information, we will notify you as the law requires.

10. Where information is processed

We are based in the United States, our team works in the United States, and the Site is intended for U.S. practices. Some of our service providers store or process information outside the United States, including in the European Union. For example, our form automation provider hosts its service there. Patient health information from a Free Review is handled as described in Appendix A of our Terms of Service.

11. Your privacy choices and rights

You can ask to see, correct, or delete the personal information we have about you, and we will not treat you differently for asking.

What you can ask for

  • Access: a copy of the personal information we have about you.
  • Correction: fix information that is inaccurate.
  • Deletion: delete personal information we have about you. We keep only your email address or phone number on our do-not-contact list, so we don't contact you again or re-add you from a data provider's list.
  • Cookie choices: turn off optional cookies with "Cookie preferences" or "Do Not Sell or Share My Info" in the Site footer, or by sending a Global Privacy Control signal. To keep your ad click identifier out of our Google ad-measurement uploads, email us (Section 5).
  • Stop marketing: see Section 7.

How to make a request. Email contact@bluewaterbilling.com with "Privacy request" in the subject line. Tell us what you are asking for, and the email address or phone number we would have for you. We aim to respond within 45 days.

Verification. To protect your information, we may confirm your identity by matching details you give us to what we have, for example by replying to the email address on file.

Authorized agents. Someone else may make a request for you with your signed permission. We may ask you to confirm your identity with us directly.

If we can't do what you ask. We will tell you why. Some information we must keep, for example to meet a legal duty, complete something you asked for, or keep our systems secure.

State privacy laws. Some state privacy laws give their residents specific rights, such as the right to opt out of the sale or sharing of personal information. We do not sell personal information. Where a law like that applies to us, we will honor the rights it gives you.

Nevada residents. We do not sell covered information as Nevada law defines it. You may still send a request to contact@bluewaterbilling.com, and we will honor it.

12. Children

The Site is for businesses and is not directed to children. We do not knowingly collect personal information from anyone under 18. If you believe a child has given us personal information, contact us and we will delete it.

13. Changes to this policy

We may update this policy from time to time. We will post the new version on this page and change the "Last updated" date. If a change is material, we will give notice on the Site or by email, and we will not apply it to information we already have without your consent.
